Booking apps

Booking apps are for providers who mostly need one thing done well: clients choosing a time and booking it without a phone call. Independent stylists, barbers, nail techs, lash artists and estheticians use them to put a booking link in their social profiles, take deposits, send reminders and get paid at the end of the service. Small shops with a few chairs use them the same way, with a calendar column for each person.

The products here fall into two groups. Some are marketplaces with a consumer app, where people search for a barber or stylist near them, look at photos of past work and reviews, and book. Booksy, StyleSeat, Fresha and theCut work this way. Others are booking tools without a marketplace, where every client comes from your own link, website or social profile, such as Setmore, SimplyBook.me and Acuity Scheduling. A marketplace can bring new clients, but it usually has its own fees or rules for those bookings, and your profile sits next to competitors.

For most providers the deciding features are about protecting time. A no-show or a late cancellation costs a solo stylist the whole slot, so look closely at deposits, card-on-file requirements, cancellation windows and how the app charges a fee when a client does not arrive. Reminders by text and email cut no-shows on their own, and a waitlist that offers a freed slot to the next client can fill cancellations without you touching the phone.

AI features in this category are mostly small and practical. Some apps suggest rebooking times based on how often a client comes in, fill gaps by offering open slots to likely clients, write promotional messages or captions, or answer basic booking questions in chat. They help most when the service list is clear. Set each service with an honest duration, buffer time between clients and a short plain description, so the app does not book a full color into a forty-minute gap.

Look at how the booking page looks to your clients, since it often replaces a website. Can you add photos of your work, a short bio, your policies and a map? Does it show your own branding or the app's? Can a client book several services at once, or book for a friend in the next chair? Test the booking flow on your own phone as if you were a new client.

Check payments and fees together. Many booking apps make money from card processing, marketplace bookings or add-ons such as marketing and extra staff seats, more than from the base subscription. Read the fee pages, then work out a normal month for your book. Also ask whether you can export your client list with phone numbers and emails. Your client list is the most valuable part of your business, and you should be able to take it with you.

If you work inside someone else's salon or a suite, ask whether the salon's system can give you your own booking page and payouts, or whether you need your own app. Many suite renters run their own booking app so that the client relationship stays with them.

Questions about booking apps

Should I use a marketplace app or my own booking link?

A marketplace can bring new clients who search the app, which helps when you are building a book. Your own link keeps the relationship and fees simpler. Many providers use a marketplace app but send their regular clients to their own link, so check how each app charges for the two kinds of booking.

How do booking apps reduce no-shows?

Mostly through reminders, deposits and card-on-file rules. A reminder a day before and a few hours before catches most forgotten appointments. Deposits or a saved card with a clear cancellation policy cover the slot when a client does not come.

Can clients book from Instagram or Google?

Most apps here give you a booking link for your social bio, and several connect to booking buttons on Instagram or Google Business Profile. Check which connections each app supports, since this changes as the platforms change their rules.

What should a barber look for in a booking app?

Barbers often need quick, back-to-back appointments, walk-in handling, and a profile with photos of cuts. Apps such as Squire, theCut and Booksy are built around barbershops. Check how they handle walk-ins next to booked clients, and how chair renters get paid.

Can I move my clients if I change apps later?

Ask before you start. Most apps let you export a client list, but some limit what comes out, such as phone numbers, notes or future appointments. Keep your own copy of your client list from time to time, whatever app you use.
